Job Description: Reservations Specialist/Area Manager
Organization: Freewheeling Adventures Inc.
Location: The Lodge, onsite near Hubbards, Lunenburg County, Nova Scotia (car required or live nearby)

Position Overview:
As a Reservations Specialist/Area Manager, you will play a critical role in ensuring the seamless coordination of our tours. This position requires a deep understanding of our tour offerings and a proactive approach to managing reservations. You will be responsible for accurately recording all guest communications, ensuring that expectations are clearly documented and relayed to both clients and internal teams. Your attention to detail and ability to manage relationships with accommodation providers will be essential in delivering the carefully curated experiences our guests expect.

Key Responsibilities:

  • Learn and master the details of assigned tours—ensure a thorough understanding of the destinations, accommodations, and activities involved.
  • Accurately manage reservations—record all guest communications, expectations, and preferences in our booking software, ensuring this information is accessible to all tour support personnel.
  • Maintain strong relationships with accommodation providers, securing room blocks, negotiating rates, and processing booking changes in a timely manner.
  • Ensure accurate post-sale communication with clients, providing them with clear, detailed updates about their reservations and tour logistics.
  • Collaborate with internal teams—work closely with sales, marketing, and operations to ensure all details align from the point of booking through to the execution of the tour.
  • Record and maintain communication histories so that tour leaders, logistics teams, and service providers have a complete understanding of guest needs and expectations, enabling them to deliver a flawless holiday experience.
  • Process payments and manage invoices efficiently, ensuring all financial and booking details are up to date.

Skills & Qualifications:

  • Exceptional communication skills, with a focus on maintaining positive relationships with both clients and service providers.
  • Meticulous attention to detail — you’ll need to ensure that all guest details, expectations, and changes are recorded with precision.
  • Strong organizational skills, with the ability to manage multiple tasks and priorities effectively.
  • Professional demeanor with a strong sense of accountability for the guest experience.
  • Knowledge of the travel and tourism industry, particularly in active travel, is an asset.
  • Ability to work independently and as part of a collaborative team.

Performance Expectations:

  • Accurate and timely management of the reservation process, ensuring all communication is documented clearly.
  • Building and maintaining strong, positive relationships with accommodation providers.
  • High levels of guest satisfaction, resulting from clear communication and well-coordinated logistics.
  • Consistent and precise entry of information into the booking system to support the operational and logistical success of the tours.
