Hiring: Operations Assistant
Organization: Commercial Bear Viewing Association (CBVA)
Location: remote, anywhere in BC
Position Type: Part-Time, 20 hours /week

Position Summary:

We are seeking a highly organized and proactive Operations Assistant to join our team. The successful candidate will play a crucial role in supporting the association’s operations, streamlining guide-related work, managing certifications and courses, handling general administrative tasks, ensuring effective communication with members and stakeholders, and supporting the Executive Director.

Key Responsibilities:

  1. Operational Support:
    • Assist in the day-to-day management of the association’s activities.

    • Maintain and update the association’s database, including member records, certifications, and course completions.

    • Coordinate logistics for meetings, training sessions, and events.

  2. Guide Support and Certifications:
    • Oversee the scheduling and enrollment of guide training programs and certification courses.

    • Maintain database of Guides, online resources, membership hub, communications and mailing lists.

    • Track and manage guide certifications, ensuring compliance with association standards.

    • Liaise with guides to address inquiries and provide necessary resources.

    • Work with the Certification & Education Committee to streamline the certification process and elevate the Guide Certifications.

  3. Administrative Duties:
    • Handle general administrative tasks, including managing correspondence, maintaining records, and processing invoices.

    • Assist in preparing reports, presentations, and documentation for internal and external stakeholders.

    • Provide direct administrative and project support to the Executive Director as needed.

    • Lend support to event management - Symposium, Annual General Meeting, Political events

  4. Communications: 
    • Draft, edit, and distribute newsletters, updates, and other communications to members and partners.

      1. Quarterly newsletters to members and guides

    • Manage the association’s social media accounts, including creating and scheduling posts, monitoring engagement, and responding to comments or messages.

    • Ensure the association’s website and social media platforms are regularly updated with accurate and engaging content.

    • Respond to inquiries from members and the public in a timely and professional manner.

  5. Streamlining Processes:
    • Identify opportunities to improve operational efficiency and implement streamlined processes.

    • Develop and maintain standard operating procedures for key tasks.

Qualifications:

  • Degree in in related discipline; tourism, hospitality, outdoor recreation, or related field an asset.
  • Strong organizational and time management skills with the ability to multitask effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other relevant tools.
  • Familiarity with social media management tools is a plus.
  • Experience with database management and basic bookkeeping is a plus.
  • Knowledge of or interest in wildlife conservation, ecotourism, or outdoor recreation is preferred.
  • Ability to work both independently and collaboratively within a team environment.

Compensation:

$30/ hour at 20hrs per week
