ASSISTANT OFFICE MANAGER FOR AN ENVIRONMENTAL CONSULTING FIRM

Position: Assistant Office Manager 
Organization: Method Environmental Services Ltd.
Location: Vancouver, BC

We are a small but busy environmental consulting company based on Commercial Drive in Vancouver with a primary focus on soil testing and reporting. We are searching for a personable, competent, reliable, and enthusiastic Assistant Manager to join our team and help run our office. Join us and enjoy being a part of a productive and collaborative team while learning about the environmental field and the BC Contaminated Sites Regulation.

We are searching for a Part-time (3-4 days per week) with potential for Full-time Person to join our Team

Job Requirements:

  • Excellent communication and interpersonal skills. Must be comfortable speaking with clients and contractors in person and over the telephone. Previous customer service experience is an asset.
  • Strong organizational and multi-tasking skills with especially strong attention to detail.
  • Flexible and adaptable to changing workloads.
  • Willingness and ability to learn at a fast pace.
  • Must be proficient with Microsoft Office Suite, specifically Excel and Word, alongside Gmail, including Google calendar and Sheets. Experience with Adobe Acrobat is an asset.
  • Must be dependable and comfortable working closely with our tight-knit and passionate team. Must also work efficiently and manage your time proficiently without supervision.

Job Functions/Responsibilities:

  • Assist Office Manager with managing day to day office administration duties.
  • Correspond with and relay information to clients, contractors and municipalities by phone and email.
  • Prepare reports, forms, proposals, contracts, and general correspondence. Preparation of reports includes, but are not limited to, interpreting and tabling laboratory results, updating templates, completing required government paperwork, using GIS, Google Earth, and/or Adobe Acrobat to create or revise report figures/Site Plans.
  • Review information, reports and analytical data, Site Plans/Drawings, research areas of potential environmental concerns, in order to discuss and assemble Cost Estimates.
  • Scheduling of field work and corresponding with field staff to support their needs.
  • Data entry and spread sheet maintenance.
  • Maintain and organize electronic and hardcopy files.
  • Review project details and incurred costs and set up invoices.
  • Manage basic accounts payable and accounts receivable accounts.
  • Help with making supplies orders and general office maintenance.

  • Flexible hours Monday to Friday with paid breaks and a casual dress code.
  • Starting wage of $22- $25 per hour commensurate with experience. Pay twice per month.
