Position Summary

Reporting to Ontario’s Director of Development & Communications, the Director, Development Operations provides leadership, strategic direction and oversight to ensure that the procedures and practices (operations) of the ON Development team are aligned to execute the vision of the ON senior management team.

This is a leadership and management role that will make significant contributions to helping the ON Region achieve its ambitious conservation goals as outlined in the 2022-2030 strategic plan by helping to implement the plan’s objectives of growing support evolving culture and plan by helping to implement the plan s objectives of growing support, evolving culture and optimizing delivery. This includes supporting NCC’s overall goals of $200M in revenue per year by 2026 and growing the number of supporters to 1M by 2030. The Director, Development Operations will be responsible for managing development staff.

Responsibilities include:

Design, implement and direct regional development operations

  • Review, design and oversee effective processes and guidelines and implement and delegate related activities to maximize efficiencies on the development and communications team for:
    • Grants within the overall ON development strategy.
    • Monitoring, responding to and elevating unsolicited major gifts and donors.
    • Execution within ON of national policies and procedures for gift / donor management.
    • Execution within ON of national policies and procedures for Raiser’s Edge database management.
    • ON’s donor stewardship and recognition program.
    • Regional reporting on development and donor relations activities.
    • Reviewing and directing donor or community inquiries.
    • Departmental processes for content creation, approvals, etc.
    • Tracking and supporting program staff fundraising activity.
  • Review and design effective processes and guidelines and implement and delegate activities to maximize collaboration between development and communications team, land staff, finance, and senior management in the ON Region for:
    • Project funding organization and prioritization
    • Tracking grants and donations for prioritized securement and stewardship projects
  • Support Regional Vice President, Director, Development & Communications and Senior Development Officers in managing donor portfolios, developing appropriate strategies and proposals, managing gift agreements, and managing donor stewardship.
  • Work with communications staff and fundraisers to manage grant and corporate partner deliverables.
  • Review and design effective regional processes and guidelines and implement and delegate activities related to NCC National marketing and development initiatives (campaigns, events, donor initiatives, etc.) relevant to the ON Region.
  • Work in collaboration with the Regional Controller to ensure donor and funder contributions are used according to defined agreements.
  • Make recommendations for growing NCC’s commitment to Equity, Diversity and Diversity within the scope of this position’s responsibilities.
  • Collaborate with National Marketing & Development, Donor Relations, Gift Admin and IT to ensure alignment of policies and procedures and identify opportunities for improvement.

Evolve, execute and direct grants

  • Delegate and oversee work of Development Officer, Major Gifts-Grants for grant applications, tracking and reporting.
  • Implement and oversee processes and guidelines for large government grants.
  • Act as a liaison for collaboration between the Development and Communications team, conservation staff, senior management and finance, where necessary.
  • Regularly review processes and guidelines and revise and optimize as needed.

Evolve, execute and direct ON’s donor relations program

  • Attend meetings with fundraising volunteers and donors.
  • In collaboration with the communications staff, delegate and oversee the creation of donor engagement pieces (proposals, presentations, donor impact reports, StoryMaps, and other creative pieces).
  • Work with communications and program staff to incorporate fundraising goals into communications and engagement activities where appropriate.
  • Support the evolution and expansion of donor relations activities and opportunities in the ON Region, and develop strategies for:
    • Major gift donors
    • Mid-level donors
    • Planned giving
    • Land donations
    • Fundraising volunteers
  • Act as a liaison for collaboration between development staff and communications staff for donor relations projects, where necessary.
  • In collaboration with National business units (where applicable), design, create and implement systems for tracking:
    • Significant gift solicitations for projects and initiatives
    • Ensure spending of donations in timely fashion
    • Seamlessly coordinate donor reporting and demonstrations of impact of significant donations
    • Identify or maximize opportunities for matching grants or other sources of income
    • Departmental projects and business plan objectives

Manage development staff

  • Manage hiring, onboarding (where needed) and daily work of 2-3 development staff.
  • Conduct regular meetings with direct reports.
  • Conduct performance planning sessions with direct reports and set and track quarterly goals that are aligned with the ON business plan.
  • Support the professional development of direct reports.
  • Manage performance related issues where necessary.

Other administrative tasks

  • Contribute to vision, planning, writing, and tracking the Development & Communications business plan and budget.
  • Develop and maintain an annual development operations workplan.
  • Provide development operations reporting details for senior management reports, regional board reports and other reports as needed.
  • Support onboarding and training for regional staff

Desired skills and experience:

  • 6-8 years of experience, preferably in fundraising or the non-profit sector.
  • High degree of knowledge of best practices in fundraising, particularly donor qualification, cultivation and stewardship.
  • Exceptional organizational and project-management skills.
  • Ability to work well independently, direct work for colleagues and direct reports, and collaborate with others.
  • Experience in use of Raiser’s Edge or other CRM software and general proficiency in the use of MS Office software.
  • Interest and openness to equity, diversity and inclusion.
  • An appreciation for or willingness to learn about nature and conservation.
