Compensation: $21-23/hour commensurate with experience

Job Summary

The Assistant Grants Coordinator (AGC) plays a key role in supporting TWC’s grants team with administrative tasks, donor stewardship, and program coordination. Reporting to the Development Manager, the AGC ensures accurate record-keeping, timely donor acknowledgment, and efficient coordination of wage subsidy programs, contributing to the smooth operation of TWC’s grant-related activities. This role is ideal for someone detail-oriented, organized, and passionate about fostering relationships with valued foundation and corporate donors.

Duties and Responsibilities:

  • Maintain accurate donor records, track received grants, and ensure timely donor acknowledgments.
  • Assist in managing an annual grants calendar, tracking application deadlines and reporting schedules.
  • Administer wage subsidy programs by preparing applications and reports, ensuring compliance with funding guidelines.
  • Liaise with program staff to gather information for grant applications and reports.
  • Coordinate with the communications team to prepare social media acknowledgments for donors and collect photos and videos of wild patients for grant-related materials.
  • Assist with preparation of detailed project budgets and expense tracking.
  • Research and gather information and statistics relevant to grant-funded projects.
  • Support TWC in maintaining clear, respectful communication with existing and prospective grant-making organizations.
  • Conduct donor prospect research and support grant team administrative tasks as needed.

Qualifications

Position Requirements:

  • Post-secondary education in a related field (e.g., fundraising, communications, or administration).
  • Minimum 1 year experience in an administrative or donor relations role, preferably within a non-profit or fundraising context.
  • Proficiency with database systems and Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational skills and attention to detail.

Skills and Abilities:

  • Excellent written and verbal communication skills.
  • Ability to understand and precisely follow instructions and seek clarification when needed.
  • Self-motivated, detail-oriented, and able to work under tight deadlines.
  • Strong interpersonal skills with a focus on professionalism and relationship-building.
  • Proactive problem-solver with the ability to work independently and collaboratively.

Assets:

  • Familiarity with donor management systems (e.g., e-tapestry and Grant Connect).
  • Experience using design software such as Adobe Indesign for layout and document preparation.
  • Good understanding of and interest in local wildlife issues.

Physical Requirements:

  • Requires the ability to spend extended periods sitting and using a computer keyboard.

Working Conditions:

  • Fast-paced office/hospital environment, with noise and the possibility of frequent interruptions
  • This position requires working near materials and animals that may trigger allergic reactions
