Position Summary

The Expedition Assistant: Events & Logistics will work alongside the Expedition Team to prepare students and staff for SOI’s 2025 expedition season. As an integral member of the Home Team at SOI Headquarters, this role will directly support the pre-departure activities including food reservations, on-site registration & Swag collection process. This position requires excellent communication and administration skills, the ability to multi-task and superior attention to detail.

This is a full-time contract position at the Students on Ice office in Gatineau, QC (in the Ottawa area). The role will begin with a minimum of three (3) days per week in office during the month of May, moving to five days per week in the office in June, July, and August.

Term: May 01 to August 31, 2025 (exact dates to be determined)
Hours: 7.5 hours per day, 37.5 hours per week, Monday to Friday. Work during evenings and weekends will be required.

The position will work alongside the Expedition Coordinator, and report directly to the Expedition Team Lead.

Key Responsibilities

Supporting the Expedition Program by:

  • Working directly with the Expedition Team Lead to ensure the pre-departure programming is finalized for multiple concurrent expeditions, and providing on site guidance and support to the other Home Team members.
  • Welcoming Canadian and International participants to the SOI program via the on-site registration process. Being a key point of contact on site for youth as they arrive, and supporting them in feeling welcomed to the program.
  • Assisting with Food reservations in multiple locations in Ottawa, Gatineau and Chelsea, including attention to allergies, and food intolerances.
  • Ensuring event supplies such as documents, lists, swag, and equipment are on site for each event; and are packed up and removed from each venue.
  • Assist in organizing and packing expedition inventory. This includes ordering and managing SWAG, counting and labeling inventory, creating lists of supplies, cleaning and unpacking gear, and at times, lifting heavy boxes;

Character profile & key competencies

  • Great communicator with excellent verbal and written communication skills and the ability to liaise with people from various backgrounds;
  • Knowledge of, and experience with, the Canadian Arctic and Inuit culture an asset:
  • Excellent problem solver who welcomes new tasks and challenges;
  • Efficient multi-tasker, who enjoys managing spreadsheets, creating lists and organizing
  • Adaptable to change, diplomatic and patient with a positive outlook;
  • Friendly and enthusiastic self-starter, demonstrating a strong capacity to work independently and collaboratively in an office setting;
  • Fluency in French and/or Inuktitut an asset.
