Position: GNN Secretary
Type: board of directors positions / unpaid
Organization: Green Neighbours Network of Toronto (GNN)
Location: Toronto or remote. (Board and Steering Committee meetings are held online. However, GNN hosts various events in Toronto that the volunteer may wish to attend.)

Green Neighbours Network of Toronto (GNN) is seeking an enthusiastic and passionate volunteer to dedicate their time and expertise to support this Not-for-Profit organization’s goals and objectives acting as the GNN Secretary.

About Green Neighbours Network

Launched in April 2018, GNN is a network of independent community groups and individuals working together with a common goal: to help make Toronto a city of greener, more vibrant neighbourhoods and a leader in the worldwide urban movement against climate change. GNN aims to facilitate collaboration among members and mentorship of new green groups. We strive to help our members develop skills for effective civic engagement and to build a rich web of alliances with other groups in the areas of health, environment, transit, housing and social justice. We are keen to expand this new network across the city.

GNN Secretary

Purpose:

The GNN Secretary will provide administrative support to GNN through the timely and accurate collection and sharing of meeting minutes and other information directly related to its activities.

Role:

The position of GNN Secretary will involve a time commitment, on average, of 8-10 hours a month and will entail the following tasks:

  1. Attend monthly GNN Steering Committee meetings and periodic Board meetings.
  2. Prepare and distribute the official minutes of the meeting which include motions, agreements, votes, and decisions.
  3. Assure that documents are accessible to members.
  4. Send reminders to GNN Board members about annual reporting or financial duties.
  5. Keep copies of the organization’s bylaws and GNN’s policy statements and procedures.
  6. Update lists of officers, Board Members, committee members and GNN Membership.
  7. Make sure that there is a quorum at Board and Steering Committee meetings.

Qualifications and Personal Characteristics:

  1. Experience in administration in a paid or volunteer setting.
  2. Strong organizational skills, time and ability to produce notes and Minutes in a timely manner for distribution and action by the GNN Steering Committee and Board.
  3. Detail-oriented and capable of extracting and communicating key information from meeting discussions.
  4. Proficiency in MS Office Suite and Google Workspace (Docs, Sheets, Slides, Drive, etc.).
  5. Good listener and service oriented.
  6. A passion for the environment and community-building.

Time Commitment:

  1. 8-10 hours per month.
  2. Attend monthly GNN Steering Committee meetings and periodic Board meetings.

Orientation:

The GNN Secretary will follow an onboarding process and will be supported by the GNN Board of Directors throughout the entire duration of their volunteer work.
