SUMMARY OF FUNCTIONS

Reporting to the Executive Director of CVC Foundation, the Coordinator, Fundraising performs day-to-day activities to build and maintain revenue from donors, foundations, corporate partners, and governments. The position works closely with the management and staff team to implement fundraising programs, special events and initiatives that result in sustainable revenue, and plays a critical role in the administration of the Foundation, including maintaining donor data and producing fundraising program and budget reports.

ELIGIBILITY REQUIREMENTS

Education

  • Post-Secondary degree or diploma in a related educational field (e.g. Special Events, Non-Profit Management, Fundraising)
  • Undergraduate or graduate degree in business or public administration, or finance preferred

Experience

  • A minimum of three years of experience in an administrative role, preferably in a not-for-profit, or development office progressively responsible experience and proven success in fundraising
  • 4 years of experience in a similar position in which significant donor relationships were achieved preferred
  • Experience with fundraising, event management, volunteer management, customer service, financial and accounting experience, meeting facilitation, and public speaking

Knowledge, Skills and Ability

  • Knowledge of community-based organizations and the local philanthropic landscape
  • Strong and energetic communication skills - both written and verbal
  • Ability to handle multiple tasks and responsibilities
  • Be an exceptional team player who contributes to the organizational culture
  • Comfortable and excels in balancing team and individual responsibilities
  • Proficiency in Microsoft Office applications and ability to extract, analyze and present data to track progress towards goals
  • Proficiency in Word Press, photo editing software, and database management
  • Excellent verbal and written communications skills
  • Ability to present information concisely and effectively, both verbally and in writing
  • Proven interpersonal capabilities for positive working relationships with all stakeholders
  • Creative problem solving and conflict resolution skills
  • A team player who can promote a culture of respect and trust
  • Ability to organize and prioritize work
  • Ability to work independently with little supervision
  • Valid Ontario Class “G” driver’s license in good standing
  • ‘Insider’ knowledge of the requirements and successful approaches to major donors considered an asset
  • Thorough knowledge of the major donor landscape and the related drivers considered an asset

SUMMARY OF MAJOR TASKS

Direct Fundraising

  • Build, cultivate and maintain relationships with donors and prospective donors
  • Conduct preliminary research to qualify prospective corporate, community and individual donors
  • Manage all deadlines, workflows, and project plans for fundraising activities
  • Oversee and support Conservation Area ‘Friends of’ groups fundraising initiatives
  • Develop and implement direct mail, crowd and online fundraising campaigns and earned revenue campaigns
  • Coordinate and implement fundraising programs and initiatives that support CVCF’s highest priorities (i.e. land acquisition, Credit Valley Trail, park infrastructure, Indigenous placemaking)
  • Promote and facilitate the involvement of the community, residents, conservation park users and volunteers in the implementation of Community Based Fundraising projects
  • Research, evaluate, and recommend new fundraising opportunities and tactics in alignment with the organization’s values, strategic priorities, and program work

Special Events Coordination

  • Coordinate the implementation of major special events such as the annual Conservation Gala, including planning committee coordination, budget management, event promotion, event logistics and be the event point person (on-site)
  • Solicit, track and manage donations and event sponsorships including the maintenance of inventory, storage, transportation and presentation of the donations
  • Track ticket sales and maintain guest lists, gather and prepare registration materials and other duties as assigned for fund-raising events
  • Assemble media and donor kits for events and meetings
  • Coordinate the recruitment and training of event volunteers and manage the volunteers at the events
  • Handle all administrative details associated with CVCF Special Events
  • Liaise with event sponsors, solicit sponsorships and ensure that all sponsorship benefits are activated and fully delivered
  • Monitor and evaluate ROI to drive continuous improvement and effectiveness of events

Marketing and Communications Management

  • Coordinate the development and implementation of CVCF’s marketing and communications plan
  • Plan, produce and share social media content
  • Coordinate the design and production of marketing and sponsorship recognition materials
  • Prepare and assemble media materials for distribution. (i.e. copying, filing, mailing, e-mailing)
  • Coordinate the publication of CVCF news and updates and maintain CVCF mail and email lists
  • Maintain CVCF website content
  • Coordinate content for the CVCF annual report
  • Coordinate CVCF’s donor stewardship and recognition program

Administration

  • Create monthly fundraising reports and other database reports. Update and maintain database records and files on a regular basis.
  • Maintain donor records in DonorPerfect
  • Provide administrative support such as agenda circulation and minute taking, meeting coordination and record keeping for board and committee, and managing office equipment, supplies and the off-site storage.
  • Assist management in preparing fundraising reports and materials for the Board of Directors
  • Other duties and projects as appropriate to the position.
