Willowgrove is Now Hiring an Executive Director for a 1 Year Contract (With possibility for extension)
Willowgrove is seeking an Executive Director with a passion for leading a staff team who work with children and youth in an out of doors setting; you understand financial management and have strong organizational, relational and communication skills and who is a visionary and strategic leader. Working with and reporting to the Board of Directors, the Executive Director supervises the senior staff team.
The ideal candidate is an inclusive, collaborative, and empowering individual with practical operational experience in the not-for-profit sector. You have successfully managed a million dollar plus budget and are open to looking for new funding opportunities. You trust in the skills, ability, and capacity of others and have the courage to try new approaches, management structures and processes that are well-informed and well reasoned, while working within articulated Human Resources policies and procedures.
The ideal candidate will possess the following skills:
- Team Leadership and Change Management: Overseeing staff, facilitating effective teamwork, and respecting all staff and volunteers within a collaborative problem-solving framework. Leading with sensitivity to the anxiety that leadership and structural change can cause for staff, membership, partners, etc.
- Program Review and Development Leadership: Able to support the strengthening of current programs while leading the development of new programs relevant to Willowgrove’s community
- Values-based Leadership with Communication and Relational Understanding and Skills: Provide leadership within the Vision, Mission and Values of Willowgrove while ensuring that all communication furthers relationship building
- Financial Visioning and Management: Overseeing a million dollar plus budget and supporting staff in managing their individual program budgets. Working with the Board on establishing financial and program targets
- Human Resources Skills and Knowledge: Experience and knowledge and skill in implementing best practices in managing human resources processes within short and long-term staffing goals
- Organizational Leadership in a not-for-profit setting: Implementing legislation, employment standards, and quality standards relevant to the not-for-profit sector, supporting the nine-member Board of Directors and facilitating membership engagement
- Strategic Thinking: Seeing the bigger picture and direction of Willowgrove with the Board, and how to deliver practical results within the current 2024-28 Strategic Plan
- Vision-casting: Inspiring/focusing the Willowgrove community and stakeholders towards its vision, mission, and values
Minimum Qualifications:
- Education: Minimum of a Bachelor’s degree in a relevant field and additional training in leadership, organizational conflict resolution, financial management, etc.
- Experience: 5 – 10 years relevant experience in the not-for-profit sector. Significant management, administrative, and visionary leadership experience in a similar organization such as outdoor education, community programming, camps (day and overnight), rural recreational and farm programming.
- Flexible hours are required over a daily, seasonal, and annual basis.

Further Information:
The salary range for the position starts at $65,000 (With actual salary being commensurate with qualifications and experience).

JOB DESCRIPTION
Section I Vision:
The Executive Director is responsible for ensuring, in conjunction with the Board, that a compelling vision for Willowgrove exists. This vision would include the utilization of Willowgrove's unique assets and capabilities to:
- Fulfill a community need
- Provide life experiences to children of all socio-economic backgrounds
- Drive the imagination of the membership that would result in required and increased levels of volunteerism and financial support
- Recognize a high level of environmental responsibility
- Incorporate Christian principles
Section II Personnel:
- Supervising the full staff structure of Willowgrove including consulting Bookkeeper, Facility, Teachers, & Program Directors of Willowgrove Day Camp, Fraser Lake Camp, and Willowgrove Outdoor Education Centre.
- Recruit, hire, train, develop and evaluate staff persons in consultation with the Board
- Meet regularly with the senior staff team and give guidance, support and supervision.
- Understand, agree with, comply with and promote the Vision of Willowgrove
- Adhere to Employment legislation.
Section III Financial Administration:
- Ensuring that Willowgrove is operated in a fiscally responsible manner and that resources entrusted to Willowgrove are utilized in an effective and efficient manner in conjunction with the vision
- Ensuring that capable staff are charged with the putting in place appropriate systems and controls to facilitate planning and monitoring of Willowgrove's financial systems
- Being responsible for all financial activities including budgeting and spending within the budget guidelines.
- Being available to discuss financial activities with the bookkeeper.
- Consulting with the program directors/managers, the Finance Committee, Board Treasurer to know the financial state of the Organization.
- Sharing responsibility with the board for planning and activating fundraising activities.
- Apply to applicable granting/funding bodies
Section IV Programs:
- Ensure that programs developed by staff tie into the Vision of Willowgrove and the needs of our client base
- Be responsible to the Board for the continued successful operation of all programs
- Make recommendations to the Board regarding changes/improvements to present programs, registration fees, facility and organizational policies.
- Assist with the upgrading of facilities by obtaining needed permits, plans, trades etc.
- Comply with current legislation as it pertains to Willowgrove programs and facilities.
- Evaluate and review insurance policies to ensure adequate levels of coverage
Section V Public Relations and Marketing:
- Understand latest developments and trends in programs that are run by Willowgrove
- Identify Willowgrove's targeted constituency and the needs of that constituency
- Develop effective means to promote Willowgrove which develops the client base for Willowgrove's programs, develops the work force necessary to operate the programs and keeps the Willowgrove membership updated for developments and financial needs of the programs
- Help with the planning and implementation of Willowgrove-sponsored activities
- Promote the unique, multi-faceted programming available at Willowgrove
- Actively seek opportunities to promote Willowgrove
Section VI Board Support:
- Meet regularly with the Board Chair to plan monthly meeting agendas
- Ensure that the organization is following internal policies and by-laws
- Help to plan and implement the Willowgrove Annual General Meeting
- Prepare reports and provide information to the Board as required
- Ensure committee support as needed of one staff person assigned to each committee or task force to assist the chair by scheduling meetings, contacting members, planning agenda with chair, distributing minutes
Section VII Fundraising:
- Work with the Board to develop programs which raise funds through cash donations and/or contributions in kind to support Willowgrove programs
- Oversee, in conjunction with the Board, implementation of fundraising programs
- Be accessible to major donors to discuss Willowgrove programs and opportunities
