Position: Artists For Water Event Assistant

  • Position Type: Fixed Term Contract, 25 hours/week
  • Salary: $21/hour

Job Description

The Artists For Water Event Assistant will play a key role in the successful planning and execution of Swim Drink Fish's annual fundraising gala. This role will involve a variety of tasks related to art procurement, logistics, and guest management.

Here’s what you need to do…

Art Coordination:

  • Coordinate art donations, including liaising with artists, galleries, and the Art Committee Chair.
  • Manage the art inventory, track donations, and ensure artwork meets quality standards.
  • Assist with securing art appraisals and arranging transportation and storage for all artwork.
  • Create and maintain artist agreements, ensuring all necessary documentation is collected.
  • Prepare artist bios and artwork descriptions for the auction catalog.
  • Oversee the design and production of the event program, including artist information and artwork descriptions.
  • Provide post-event stewardship to artists, including thank-you notes and updates.

Event Logistics:

  • Assist with the planning and execution of the Art Gala, including coordination with the venue, caterers, and other vendors.
  • Manage the guest list, including RSVP tracking and seating arrangements.
  • Coordinate volunteer schedules and provide on-site support during the event.
  • Assist with the development and production of event materials, such as signage, invitations, and promotional materials.
  • Manage the auction process, including the preparation of auction materials and providing support to the auctioneer.

Sponsorship Support:

  • Assist with the development and distribution of sponsorship packages.
  • Track sponsor commitments and ensure fulfillment of sponsor benefits.
  • Assist with sponsor stewardship activities, including correspondence and event invitations.

Here’s what you need to have…

  • Strong organizational and time management skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Experience in event planning or project management is an asset.
  • Proficiency in Google Workspace, Givergy, Keela and other relevant software.
  • Interest in the arts and in supporting environmental causes.
  • Ability to work independently and as part of a team.

Bonus points if you…

  • Are able to troubleshoot basic office technology
  • Have fundraising experience
  • Have event planning experience
