Hiring: Event Coordinator / Administrative Support
Organization: Don't Mess with the Don
Location: virtual/ remote with some in-person work, Toronto ON

Job Description

This is a meaningful role where you can make a difference working for an organization that. cleans up and restores Toronto’s largest greenspace: the Don Valley. Don’t Mess with the Don (DMWTD) is a registered charity that works to clean up, restore and protect Toronto’s Don Valley, by harnessing the power and enthusiasm of citizen volunteers. We organize various events and activities including garbage clean ups, nature stewardship and ‘Saturdays at the Container’, a nature-themed arts and crafts program and many other programs. We are looking to hire an Event Coordinator to help us with the planning, communication, and administration of our events and programs.

Key Responsibilities

Event Coordination & Logistics

  • Plan and schedule DMWTD events, ensuring smooth execution.
  • Coordinate with stakeholders, volunteer leaders, and city representatives.
  • Attend at least two events per month to assist with setup, volunteer coordination, and teardown.
  • Promote events via social media, newsletters, our website, and printed flyers.
  • Maintain and update event calendars.

Administrative Support

  • Track volunteer registrations and maintain mailing lists.
  • Monitor expenses and assist with financial reporting.
  • Maintain donor records and handle general communications.
  • Organize and archive digital assets (photos, videos).

Communication & Outreach

  • Manage incoming inquiries and organize contact lists.
  • Respond to general inquiries via email and messaging platforms.
  • Assist in creating communication materials (posters, event pages, newsletters) using templates for both print and web.
  • Update website content with text and images provided by the DMWTD board.
  • Brainstorm creative ways to grow our volunteer network and community engagement.
  • Reach out to businesses for partnerships and sponsorships.
  • Liaise with local politicians and city officials regarding event permits and logistics.

Required Skills & Qualifications

  • Strong organizational and communication skills (both written and verbal).
  • Tech-savvy: Proficiency in Excel, Word, and Google Suite. Experience with Canva and Squarespace is required.
  • Ability to work independently as well as collaboratively in a team setting.

Additional Considerations

  • Must be based in Toronto. We encourage applications from the Thorncliffe Park and Flemingdon Park Communities.
  • Passion for the outdoors, environmental causes, and community engagement.
  • Comfortable with remote work, but willing to attend in-person events in and around the Don Valley each week.

Job Details

  • Employment Type: Part-time (approximately 20 hours per week).
  • Compensation: $20 - $25 per hour (depending on experience and skill set).
  • Start Date: March 22
  • Reporting: The Event Coordinator will report weekly to the DMWTD Board and collaborate with at least one board member on all activities.
