Administrative Assistant, Victoria, BC

Salal Foundation seeks an energetic, experienced virtual assistant to support our Executive Director and Senior Team as part of a small, remote organization working across Canada..

The ideal candidate is Victoria-based. Remote, flexible PTE (20+ hours per week), starting hourly wage of $26.5 /hr, after benefits hourly wage is closer to $29.00 per hour (experience will be considered). Salal Foundation benefits include:

Manage the Office of the Executive Director:

  • Diary management for the Executive Director, including:

    • Creation and Maintenance of the Organization's Calendar.

    • Coordinating with senior team calendars.

    • Coordinate Board Meeting dates & times.

  • Organize travel logistics:

    • Organize travel for team events / off-site for senior team members.

    • Personal and professional travel for Executive Director: including flights, accommodation, restaurant bookings, etc.

  • Collate and submit expenses.

  • Create related itineraries for the senior team.

  • On occasion, represent Salal at meetings when the Executive Director cannot attend; take minutes and report back on the progress of the meeting(s).

  • Manage correspondence on behalf of the Executive Director.

    • Manage and curate inboxes.

  • Support workflow enhancements and contribute to a culture of ongoing improvement for the Executive Director.

  • Coordinate with the organization's Administrative Team for meetings with the ED.

Personal:

  • Schedule occasional meetings for household/family.

  • General admin for Executive Director's home office: duties include implementing and maintaining a filing system (digital and paper files), ordering and maintaining office equipment.

Requirements:

  • 2-5 years of experience assisting a dynamic leader and a small leadership team.

  • Familiarity with the role of a personal assistant.

  • Comfortable working remotely.

  • A car or means of transportation to allow for in-person meetings, with Executive Director.
