Position Title: Coordinator
Title of Supervisor: Greenhouse Manager
Organization: Community Garden Society of Inuvik
Location: Inuvik, Northwest Territories 
Also hiring: Supervisor | Composting Intern

Position Type: 30 hrs/week, April/May 2025 - August 31, 2025 (with possible extension to September 30, 2025)
Pay: $30/hour (which includes the Northern Allowance)

SUMMARY DESCRIPTION:

The Coordinator will support the operation and outreach of the Inuvik Community Greenhouse. Responsibilities include overseeing the annual plant sale, weekly markets, gardening education, workshops, fundraising events, marketing, and tours. The Coordinator will manage programming, recruit and support volunteers, and foster community engagement.

REPORTING & OUTPUTS

The Coordinator reports directly to the Greenhouse Manager. In the absence of the Manager, the Greenhouse Coordinator reports to the Board. Outputs of this position include: (1) monthly summary reports for the Board, (2) ) plans, outlines, and evaluations for greenhouse and kitchen programming, (3) 2025 greenhouse marketing and communication plans, and (4) a final report of work completed at the end of the contract.

ROLE & RESPONSIBILITIES

1. Greenhouse Marketing and Promotion (25%)

  • Create and manage marketing plans for events, workshops, and volunteer roles.
  • Generate ideas, oversee planning, and execute promotional efforts for fundraising events.
  • Update the website, publish newsletters, maintain event calendars, promote tours, and post regularly on Facebook and Instagram with Manager input.

2. Supporting Greenhouse Operations (20%)

  • Plan and oversee all aspects of the Spring Plant Sale with Manager support.
  • Recruit and manage volunteers for day-to-day operations, work projects, and events.
  • Provide hands-on support in the kitchen or with labour needs as required.

3. Managerial Support, Collaboration and Reporting (20%)

  • Collaborate with the Manager on monthly status reports for the Board.
  • Support grant applications, expense tracking to projects, and narrative reporting.
  • Assist with overseeing staff, staff development, and event participation.
  • Oversee financial tracking during the Arctic Market and other events as needed.

4. Community Gardening Education (20%)

  • Assess community needs and co-develop plans for greenhouse and kitchen programming.
  • Plan, advertise, and manage facilitators for workshops and events.

5. Client Service and Administration (15%)

  • Provide prompt support responding to inquiries via phone, email, and social media.
  • Maintain accurate records for memberships, plot rental payments, and volunteer hours.
  • Gather and apply community feedback to improve programs and operations.

This role may require additional duties as required.

QUALIFICATION REQUIREMENTS

Education:

  1. Post-secondary education, preferably with a focus in food security, agriculture, botany, environmental studies, marketing, communications, or another related field. Equivalent experience considered. May be in the middle of a program in a related field.

Experience:

  1. A minimum of 2 years experience in planning/coordinating workshops and events.
  2. Previous experience working in community-based settings, running programs, coordinating volunteers, or supporting local food systems would be considered assets.

Skills & Abilities:

1. Communication & Leadership Skills

  1. Excellent written and verbal communication skills.
  2. Ability to develop, advertise, and facilitate workshops and special events at the Greenhouse.
  3. Experience with public speaking or planning/running workshops.
  4. Ability to work as a team and build relationships with community members and stakeholders.
  5. Ability to take initiative to complete tasks.

2. Creativity & Organizational Skills

  1. Ability to think outside the box and problem solve.
  2. Experience with MS Suite and report writing.
  3. Ability to work on a number of projects and tasks simultaneously and prioritize accordingly.
  4. Flexibility, including the ability to adapt to work effectively with various individuals and groups.

3. Other Skills

  1. Knowledge about plants or food harvesting/processing/sharing is an asset.
  2. Experience with digital platforms including Squaresite, MailChimp, Canva, Facebook, Instagram is an asset.
  3. Certifications/licenses including Food Safety, First Aid, and class 5 driver's license are assets.
  4. An understanding of local cultures and gardening in Northern climates is an asset.

OTHER REQUIREMENTS

  • Ability to work flexible hours (hours vary seasonally based on plant production and operational needs).
  • Outdoor work is required.
  • Ability to work daily in contact with plants, plant pollen, dust, and soil.
  • Relevant experience and educational equivalencies will be considered.
